If you're months or even years behind on your bookkeeping, you're far from alone — and it's completely fixable. Catch-up bookkeeping means going back and recording every transaction for the periods you never got to; cleanup means fixing the errors in books that were done, but done wrong. Either way, the goal is the same: accurate, reconciled, tax-ready books, brought fully current. Here's how the whole process works for Ottawa and Ontario businesses — and what it costs.
First, the reassurance: we do this every week, and there's zero judgment about how you got here. Running a business is busy, and the books are almost always the first thing to slip.
Catch-up vs cleanup: what's the difference?
Catch-up is for books that simply weren't done — the months (or years) of transactions that were never entered or reconciled. Cleanup is for books that were kept, but are full of errors: unreconciled accounts, miscategorised expenses, duplicate transactions, or a "suspense" account nobody understands. Many businesses need a bit of both — and the fix is the same disciplined process either way. If you're not sure which you need, that's exactly what a free review tells us.
How far back do you need to go?
Usually back to your last accurate, filed year-end — so your current year (and any unfiled prior years) are complete and consistent. In Canada, the CRA generally expects you to keep records for six years, so if you have unfiled returns, we catch those years up too. If your books were clean up to a certain point and only slipped after, we start there rather than redoing work that's already correct — you never pay us to touch what's already right.
What the catch-up process looks like
It's more straightforward than most owners expect, and we do the heavy lifting:
- 1. Free review & fixed quote. We look at the state of your books and give you one flat price up front — no open-ended hourly meter.
- 2. Gather access. We connect your bank and credit-card feeds and collect statements and receipts — you barely lift a finger.
- 3. Reconcile & categorise. We match every transaction to the bank, categorise it correctly, and clear out duplicates and errors.
- 4. Sort out HST & payroll. We true up your HST/GST and any payroll so your filings are based on real numbers.
- 5. Clean financials. You get accurate, reconciled statements — ready for your accountant and for filing.
How much does catch-up bookkeeping cost?
We quote catch-up and cleanup as a fixed price up front — not an hourly meter that balloons. The price depends on how many months you're behind, how many bank and card accounts you have, your transaction volume, and whether HST and payroll are involved. Because it's a one-time fixed quote, you know the full number before we start, with no surprises. Ongoing monthly bookkeeping — which keeps this from ever building up again — starts at $299/month. Why it's worth doing now
Every month you wait, the pile grows and the details get harder to reconstruct. Catching up protects your tax position (missed deductions and HST errors are expensive), keeps the CRA off your back, and — just as importantly — finally tells you whether your business is actually making money. Most owners describe the same feeling afterward: relief. For the signs it's time, see our guide to the 5 signs your books need a cleanup.
Frequently asked questions
I'm years behind — is it even worth catching up now?
Yes. The longer books sit, the more it costs you in missed deductions, HST errors and CRA risk — and none of that fixes itself. A catch-up is a one-time job that gets you current and compliant, then monthly bookkeeping keeps you there. Most Ontario owners feel real relief once it's done.
How much does catch-up bookkeeping cost, and how long does it take?
We give you a fixed quote up front based on how far behind you are, your number of accounts and transaction volume — no hourly meter. Most catch-ups take one to a few weeks depending on the backlog. You'll know the full price before we start, with no surprises.
What happens to my taxes if I don't catch up?
Filing on incomplete books means missed deductions, wrong HST, and returns you can't stand behind — and if the CRA reviews you, incomplete records can lead to reassessments, penalties and interest. Catching up first means every return is accurate and defensible.
